Why I Created This Family Travel Planner

We’ve taken family road trips, weekend getaways, and longer vacations at home and abroad, and every single time, I was the one keeping track of everything.

Packing lists.

After a few trips where we forgot something important (and had to scramble to replace it), I realized I needed one central place to organize everything.

So I built this planner for our family first.

How to Use This Printable Travel Planner

Once you download it:

  1. Open with Free Adobe Acrobat Reader
  2. Print the pages you need for your specific trip
  3. Fill out reservations and itinerary first.
  4. Use packing pages a few days before departure.
  5. Keep everything together in a folder or travel binder.
  6. ***Please note this printable is not fillable and not editable.

I personally like to clip ours into a simple binder so I can flip to whatever page I need quickly or keep them altogether in a plastic file folder envelope.

Tips for Staying Organized Family Travel

Even with a planner, I’ve learned a few tricks that make a big difference:

  • Pack by outfit, not by item (ie. capsule wardrobe)

  • Keep medications in your carry on.

  • Screenshot important confirmations in case WiFi fails.

  • Pack a “first night” bag with pajamas, toiletries, medications, and one change of clothes for everyone. If you arrive late (which always seems to happen), you won’t have to unpack every suitcase just to get everyone into bed.

  • Use clear zip pouches to separate things like snacks, chargers, medications, and kids’ activities. It makes it so much easier to grab what you need without pulling everything apart.

  • Take quick photos of passports, IDs, insurance cards, and reservation confirmations before you leave. Screenshot important confirmations in case WiFi is slow or unreliable when you need it most. Hopefully you won’t need them, but if you do, you’ll be glad they’re there.

  • Pack one extra outfit per child in your carry-on. Spills, accidents, and travel delays and lost baggage are just part of family travel at times. I actually do this for myself as well.

  • Give kids small, age-appropriate responsibilities, like carrying their own backpack or helping check off the packing list. It helps them feel involved.

  • Keep all trip papers or info in one dedicated folder, or google drive file (or preferably both, just in case). When everything has one home, you’re not searching through multiple bags at check-in.

  • Start packing in stages instead of leaving it all for the night before. We like to do a pre-pack to make sure we’re not overpacking.

  • Keep a small “travel essentials” pouch stocked with wipes, snacks, and a few must-haves while you’re on the go, so it’s handy.

And of course, use the planner each trip. That’s when it really works.
